The Natagora Story: Digital and financial unification at the service of nature protection and citizen engagement.
Natagora is a reference association in nature protection, active in Wallonia and Brussels. It relies on a large community of thousands of volunteers spread across 25 regional branches, as well as various commissions and working groups. With its Flemish counterpart Natuurpunt, it represents BirdLife International in Belgium.
Their needs
The association was facing a dispersion of its data and wished to undergo a major digital transformation toward a centralized solution ("All-in-One"). Its critical needs were:
Technical unification: Migrating and merging two distinct environments (member data on Odoo v16 and accounting on Odoo v8) toward a single modern platform in Odoo v18.
Fluid donation management: Integrating the entire donor lifecycle, from collection on the website to the tax declaration to the Belgian State.
Financial steering: Centralizing the management and tracking of subsidies as well as information campaigns to maximize impact.
The Idealis response
A complete Odoo solution (involving Accounting, CRM, Members, Projects, Sales, Website modules, etc.) was deployed, with very specific developments for their associative functioning:
Members & Donors Hub: Creation of a tailor-made module for volunteer management. Integration of a personalized donation widget on the website (allowing a donation to be allocated to a specific project) and implementation of a customized flow to manage recurring memberships via the standard e-shop.
Accounting & Subsidies Hub: Deployment of advanced general and analytical accounting to calculate revenues and costs per project. Implementation of a system allowing the generation of debt claims for subsidizing authorities, based on the actual cost of workers.
HR & Expenses Hub: Automated importation of SODA files (social secretariats for salary operations) with analytical breakdown. Creation of a strict 3-level validation flow for expense approval.
IT & Marketing Hub: Mailchimp integration to synchronize marketing campaigns with Odoo and configuration of a single sign-on (SSO) system to facilitate access.

Transparency regarding subsidies: Project tracking was drastically optimized. Natagora can now link and justify every hour worked and every euro spent to its corresponding subsidy.
